Introduction
This privacy notice aims to give you information on how the Home Office collects data when you participate in our surveys and how the Home Office and the Department of Health Northern Ireland (DoHNI) will process your data for the purposes of this call for evidence regarding use of decapods in science.
The Home Office is the data controller and is responsible for taking forward and hosting this survey. The Home Office will share responses received for Northern Ireland with DoHNI who will be the data controller for the responses shared with them.
This privacy notice supplements other notices and is not intended to override them.
Types of information we are collecting
The specific information we are collecting is information regarding the use of decapods for science and education purposes. This includes “personal data” comprising of your name and email address.
How and why the department uses your information
The information will be used to inform future policy development on whether and how the use of decapods in science should be regulated. At this stage the Home Office and DoHNI are seeking evidence from individuals and organisations that use (or intend to use) decapods for scientific purposes and/or educational purposes. The Home Office and DoHNI will be guided by the evidence but intend to also commission the independent advisory body, the Animals in Science Committee (ASC), for advice.
Lawful basis for processing your data
Under data protection legislation, we must identify a lawful basis for processing personal data. We process your information in accordance with paragraph 6, Schedule 1 of the Data Protection Act 2018. Your personal data is processed under Article 6(1)(e) of the UK General Data Protection Regulation (GDPR): processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in then controller.
Who do we share information with?
The Department of Health Northern Ireland will receive data related to Northern Ireland respondents to the survey including personal data.
Anonymised and/or aggregate data may be published or shared with the Animals in Science Committee, other UK Government departments, or the devolved administrations. Care will be taken not to enable the identification of any individual or organisation in doing so. All information is held securely on our systems.
If responses are published, all research findings will be reported anonymously; as part of a combined set of responses; however, where there is a substantial public interest to do so, anonymised statistical information may include categories of low numbers.
Storing your information
Your personal information, and information regarding the use of decapods will be stored for a period of 5 years.
Storage, security, and data management
The Home Office has a duty to safeguard and ensure the security of your personal data where we process it. We do that by having systems and policies in place to limit access to your information and prevent unauthorised disclosure, accidental loss, or alteration of your data. We also have procedures to deal with any suspected personal data breaches and will notify you and the applicable regulator(s) of a breach where we are legally required to do so.
Your data protection rights
Under data protection law, you have rights including:
Your right of access: you have the right to ask us for copies of your personal information.
Your right to rectification: you have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure: you have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing: you have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing: you have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability: you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
