Our personal information charter contains the standards you can expect when we ask for, or hold, your personal information. It also covers what we ask of you, to help us keep information up to date.

Why we are collecting personal data

The Department for Transport (DfT) is the ‘controller’ for personal data processed as part of the:

  • Electric Vehicle Chargepoint Grants (EVCG)
  • Workplace Charging Scheme (WCS)
  • WCS for state-funded educational institutes
  • Plug-in Motorcycle Grant
  • Plug in Wheelchair Accessible Vehicle Grant
  • Plug-in Taxi Grant
  • Plug-in Van Grant
  • Electric Vehicle Homecharge Scheme (EVHS) – closed to new installations in April 2022
  • Plug-in Car Grant – closed to new orders in June 2022

We use the data to:

  • administer the schemes and provide a grant to those who are eligible
  • reduce the risk of fraudulent activity and ensure value for money when spending public funds
  • improve the efficiency and sustainability of the schemes

We carry out this processing in the exercise of our official authority as a government department.

How we will use the data

Administration of the schemes will be carried out by the Driving and Vehicle Licensing Agency (DVLA), who are an executive agency of the Department for Transport and part of the same controller.

Plug-in vehicle grants

For customers

For funding purposes, we will share with Transport for London some data of those vehicles benefitting from the plug-in taxi grant scheme to be licensed in London. We may share some data with third parties for research purposes. The data, which could include vehicle make and model and date of purchase, is unlikely to allow individuals to be identified. We may use the data to contact you to complete a survey or participate in research projects.

For vehicle dealers and manufacturers

We will use your data to contact you in relation to any updates or changes to the relevant scheme. Where necessary we will also contact you in relation to any orders you have created on the portal.

EVCG, EVHS and WCS

We may contact you (both successful and unsuccessful applicants) to collect feedback on the schemes and your experience as grant recipients.

We will share some data with distribution network operators and other third parties for research purposes and for the purpose of analysing the future impact of electric vehicles. This data will include the date, full postal address of the installation location plus the make and model of chargepoint installed.

We will use data to contact you (installers) in relation to any updates or changes to the relevant scheme and to commission forecasts. Where necessary we will also contact you in relation to any grant claims.

We engage contractors to carry out audit checks and they will act only on our instructions and as necessary to perform these checks. The checks may consist of technical assessment of the chargepoint installations to check that they comply with all declared regulations and standards, an investigation to confirm information submitted to access grants was accurate and taking photos of the installed chargepoints.

If an installed chargepoint is selected for such a check, then the following data will be shared with those carrying out the checks, as well as the grant application data, which will include contact details of applications and/or installers, so that site visits can be arranged.

EVCG

For EVCG installers and applicants

All documentation pertaining to the installation: application forms, signatures and all supporting evidence including photographic evidence of the chargepoint and the installation site relative to the designated private off-street parking.

For residential carpark and Staff and Fleets installations, a diagram of the car park showing chargepoint locations and future connection locations.

For EVCG applicants

Customer contact details such as name of primary vehicle user, installation address, email address, vehicle make and model, Vehicle Registration Number (VRN), signatures property details – property type and if property is rented or owned.

For landlords and businesses: Declarations, how many parking bays, type of carpark, type of property, full address of installation including postcode, number of sockets and infrastructure and registration ID.

For businesses: contact details (first and last name, role in company, mobile and landline number), VAT or Companies House number,  type of landlord, how many employees, declaration.

EVHS

For EVHS installers and applicants

All documentation pertaining to the installation: application forms, signatures and declarations, and all supporting evidence including photographic evidence of the chargepoint’s serial number and the installation site relative to the designated private off-street parking.

For EVHS applicants

Customer contact details such as name of primary vehicle user, installation address, telephone number, email address; vehicle make and model; Vehicle Registration Number (VRN) or Vehicle Identification Number (VIN), and for vehicles on order, the identification number; evidence of vehicle keepership/lease/primary use (for example, company vehicle) as appropriate; signatures; additional supporting evidence.  

WCS

For WCS installers and applicants

All documentation pertaining to the installation: paper and online applicant forms, signatures, and declarations; paper and online redemption forms, signatures, and declarations; all supporting evidence including photographs of the chargepoints. Make and Model of the chargepoint, serial number, installation date, total cost of the installation and grant amount given.

For WCS applicants

Company contact details such as telephone number, email address, company address and evidence for VAT Number, Company House Number, HMRC Registration, Business rates letter (Non-domestic rating/rates demand notice) and Charity Commission; Evidence of State Aid Funding received in the past 3 years and number of sockets.

For WCS for state-funded education institution applicants

State-funded educational institute contact details such as telephone number, email address, education institute address and evidence establishment ID, SEED or reference number and number of sockets.

How long we keep your data for

We will store your personal data and information related to the grant claim (including documentation sent during the installer authorisation process) for the whole period of the relevant grant scheme and for a period of 3 financial years after the scheme ends.

Bank details and other financial details, including records of the award payments, will be kept for 7 financial years.

EVCG, EVHS and WCS

Some information, including the location, make and model of the chargepoints, the company size (WCS only), the student and staff size (WCS for state-funded education institutions only) and usage data will be maintained for the whole of the schemes and for a period of 10 financial years after each scheme end.

WCS

If your application is not redeemed in the 180-day period following the voucher generation, we will keep all your information for a period of 1 financial year after your voucher expires.

Plug-in vehicle grants

If you cancel your vehicle order we will remove all of your data within 1 year of the order being cancelled on the system.

Your rights in relation to your personal data

The processes set out above are a requirement for involvement with the relevant grant schemes. If you wish to opt out of these processes:

  • as a customer you will not be eligible for the relevant grant
  • as a chargepoint installer you will need to renounce your authorisation and should notify installer.authorisations@dvla.gov.uk
  • as a vehicle dealer or manufacturer, you will need to forego your access to the online portal and should notify PlugInVehicleGrant@dvla.gov.uk
