Accessing the View Your Education Data Portal (VYED)
Updated 22 July 2022
1. Accessing the View Your Education Data Portal (VYED)
1: 16 to 19 data and MI report
The 16 to 19 data and MI report for your organisation can be accessed on the ‘View Your Education Data’ (VYED) portal. To access VYED, organisations need to log in via DFE sign in or IdAMs. If you have been using VYED for previous releases of the 16 to 19 reports (if you are accessing the reports as a local authority) then please continue to follow the same process as you did for the last release. For DFE sign in, the login details will be the same as you use to access COLLECT and submit the school census. If you are unsure of your organisation’s login details, please contact the person in your organisation who completes the school census. If you are the ‘approver’ for the organisation and have forgotten your password, you can reset this via the ‘I’ve forgotten my password link’. Once you have logged into DfE sign you will click into the Management Information area to access the 16 to 19 dashboard for your organisation.
If you do not have a suitable account for accessing VYED, please create one appropriate to your organisation type by completing the relevant section below:
- schools & academies should follow section 2 to create a DSI account
- further education providers should follow section 3 to create an IDAMS account
- local authorities should follow section 3 for IDAMs
2: DfE Sign-in Accounts
To access the View Your Education Data service, you need a DfE Sign-in account. Already have a DfE Sign-in account?
If you have a DfE Sign-in account, you need to request access to this service: View Your Education Data and the role Management Information.
To request access, email an approver at your organisation with your request. You can find a list of approvers under ‘organisations’ on the navigation bar at the top of the screen.
How do I get a DfE Sign-in account?
Create an account in 4 simple steps.
- Select the create account button from the DfE Sign-in page
- Enter your name and email address (it’s best to use your work email address or one that is clearly associated with your organisation)
- We’ll send you an email to verify your email address; copy the code from this email and paste it into the box on the verification page
- Create a memorable password of 12 characters or more (we recommend joining three or more familiar words)
Once you have created an account, you can request access to your organisation and the services you need.
You might have noticed the term ‘approver’ during account creation. An approver is someone at your organisation responsible for controlling who has access to DfE Sign-in and the services within the system. It is usually a senior person, such as an administrator, manager, or headteacher.
For security reasons you will need the approval of your organisation’s approver before you can access services.
How can I find a relevant approver?
Once your organisation request has been approved, you can find a list of all recognised approvers under ‘organisations’ on the navigation bar at the top of the screen.
How do I get the View Your Education Data service added to my account?
Once you have a DfE Sign-in account you need to request access to this service: View Your Education Data and the role Management Information
To request access, email an approver at your organisation with your request. You can find a list of approvers under ‘organisations’ on the navigation bar at the top of the screen.
I’m an approver, how do I give access to the View Your Education Data service?
To give users access you need to add the service View Your Education Data and the role Management Information to each user’s account.
Here’s how to add the service and role to a user: 1. From the ‘manage users’ page, choose the required user 2. From the righthand list, choose ‘add services’ 3. Choose the service and role you’d like this user to access 4. Save your changes
If you are having problems using the DfE Sign-in service, follow DfE Sign-in Help. You will be able to request further assistance if required.
3: IDAMs Accounts
The home page to the 16 to 19 Data and MI Dashboard can be accessed using our secure online dissemination portal, called View Your Education Data (VYED). To access this portal, you will need an IDAMS account with the role called “View Your Education Data – Management Information”.
Registering for an IDAMs account
- follow the guidance here: https://www.gov.uk/government/publications/how-to-register-for-an-idams-account
- you will need to specify that UKPRN once you have your account (so step 1 is create an account, step 2 is associate it with an organisation)
Getting the right IDAMs role
- the link also has information about being a super user. The first person to create an account at this UKPRN will be that organisations super user. This super user will be able to grant user roles to other users. (see guidance for details)
- the role you need to grant is View Your Education Data – Management Information
- there are 10 View Your Education Data roles, these relate to other products on VYED. There is nothing to stop you giving yourself those roles, but you won’t see anything in them if you do as we’ve restricted access to them. Once the dashboard is available a user signing into VYED without that role (View Your Education Data – Management Information) will see “No content”, a user with the role will see “Management Information” with a link to a Power BI dashboard.
