What data we process and why
The FCDO works in the UK and overseas to safeguard Britain’s national security, build Britain’s prosperity and support British citizens overseas. In doing so we process personal data. In particular the EU Directorate processes personal data for the purposes of appointing organisations to the Domestic Advisory Group and Civil Society Forum within the UK as part of the EU Trade and Cooperation Agreement (TCA).
The personal data will be obtained from the organisation employing the data subject/s. The following personal data will be processed:
- name
- email address
- job title
- organisation
- attendance
- opinions
- video and audio recordings of meetings
- bank details
- disabilities for reasonable adjustments
Legal basis for the processing
We process this data because such processing is necessary for the purposes of our legitimate interests, namely for the delivery of the UK-EU Trade and Cooperation Agreement which provides for the involvement of civil society through the creation of a Domestic Advisory Group and Civil Society Forum in advising on the implementation of the Agreement.
The legal basis for processing Special Categories of personal data is that it is necessary for the purposes of performing or exercising our obligations or rights as the controller, or your obligations or rights, under employment law, social security law or the law relating to social protection.
What we do with your data
The personal data will be processed for the purposes of:
- receiving expressions of interest from organisations for membership of the Domestic Advisory Group and Civil Society Forum
- running the Domestic Advisory Group and Civil Society Forum
- recording proceedings of the Domestic Advisory Group and Civil Society Forum
- managing the Domestic Advisory Group and Civil Society Forum
- recording, publishing and/or livestreaming the proceedings of the Domestic Advisory Group and Civil Society Forum
Your personal data will be shared with venue providers, IT infrastructure and data processors who provide video management services, email services and document management/storage services.
Minutes of proceedings will be published; audio and/or video recordings may also be published.
As your personal data is stored on our IT infrastructure, and shared with our data processors, it may be transferred and stored securely outside the UK. Where that is the case, it will be subject to equivalent legal protection through an adequacy decision or reliance on Standard Contractual Clauses.
There may be other circumstances in which we may lawfully share your data with third parties where, for example, we are required to do so by law, by court order, or to prevent fraud or other crimes. Where we share data, however, we shall do so in accordance with applicable data protection laws.
How long we keep your data
We will retain your personal data for the duration of the Trade and Cooperation Agreement.
Data that is of historic interest may be preserved indefinitely in accordance with our obligations under the Public Records Act 1958.
Your rights
You have the right to:
- object: request that your data is not processed for certain purposes
- erasure: request that your personal data is erased where one of the statutory grounds applies
- data portability: the right to obtain and reuse your personal data for your own purposes across different services in certain circumstances
- restrict processing: request that the processing of your personal data is restricted in certain circumstances – for example, where accuracy is contested
- rectification: request that any inaccuracies in your personal data are rectified without delay Request that any incomplete personal data is completed, including by means of a supplementary statement.
- access: request information about how your personal data is processed and to request a copy of that personal data
If your personal data is processed on the basis of consent, you have the right to:
- withdraw consent to the processing of your personal data at any time
- request a copy of any personal data you have provided
