Privacy Notice/GDPR: UK Deep-Sea Mining Environmental Science Expert Network

This privacy notice explains the use of personal data of members of the UK Deep-Sea Mining Environmental Science Expert Network.

1. Who is collecting my data

Department for Environment, Food and Rural Affairs (Defra) is the controller for the personal data we collect:

The data protection officer for Defra is responsible for checking that Defra complies with legislation. You can contact them at DefraGroupDataProtectionOfficer@defra.gov.uk or at the above address.

Defra collects your contact details (title, name, email), information about your expertise relevant to the Network  and your current place of work and/or funding source relevant to the Network. The information is used by Defra to assess applications to register as a member of the Network. If membership is approved, members personal data is used by Defra to maintain a list of experts who can be contacted by Defra regarding Network activities, and activities relevant to the scope of the Network.  Data has been provided with the consent for it to be accessible to Defra’s Public Sector Research Establishments and their employees, this includes; 

  • Environment Agency,  
  • Forest Research, 
  • Animal and Plant Health Agency,  
  • Natural England,  
  • Marine Management Organisation, 
  • Joint Nature Conservation Committee, 
  • Veterinary Medicines Directorate,  
  • Animal and Plant Health Agency,  
  • Centre for Environment Fisheries and Aquaculture Science,  
  • Kew,  
  • and Forestry Research England. 

It is to be held on a team site, accessible to Defra’s Public Sector Research Establishments.

3. Who will my data be shared with

Your personal data will be shared by us with Defra and Defra group to assess applications to register as a member of the Network and if membership is approved, members personal data is used to maintain a list of experts who can be contacted by Defra regarding Network activities, and activities relevant to the scope of the Network. Your personal data will not be shared or disclosed to any other party outside of the Defra group without your explicit consent.  

Defra respects your personal privacy when responding to access to information requests. We only share information when necessary to meet the statutory requirements of the Environmental Information Regulations 2004 and the Freedom of Information Act 2000.

The processing of your personal data is based on consent. You can withdraw consent at any time by emailing DSM.ENV.Network@defra.gov.uk.

5. How long will my data be held for?

Membership is reviewed annually, and you will be asked to review and renew your membership annually. At this annual review, you will be asked to provide your consent for further retention. If you do not respond to the annual reviews, your personal data will be kept by us for 3 years after which time you will be asked to provide your consent for further retention which if not provided, means your personal data will be deleted.

6. What will happen if I don’t provide the data

Failure to provide this information will mean that you will not be able to successfully apply to be a member of the Network.

7. Will my data be used for automated decision-making or profiling

The personal data you provide is not used for: 

  • automated decision making (making a decision by automated means without any human involvement) 
  • profiling (automated processing of personal data to evaluate certain things about an individual)

8. Will my data be transferred outside of the UK

The data you provide will not be transferred outside of the UK.

9. What are my rights

You have the right to make a complaint to the Information Commissioner’s Office at any time.
