Operational Delivery Profession SCS Talent Privacy Statement
Privacy statement explaining what personal data the Operational Delivery Profession Senior Civil Service (SCS) Talent Scheme collects and how it uses it.
The Operational Delivery Profession (ODP) cross government talent team is anchored within the Department for Work and Pensions (DWP.)
DWP is therefore the Data Controller for personal data in relation to the SCS Operation Delivery Profession SCS Talent Scheme and will process personal data for the following purposes:
Why the ODP SCS Talent Scheme uses personal data
1. To support senior civil servants within the ODP to best prepare themselves and others for talent moves, to learn about talent development programmes and for us to contact you about upcoming opportunities
The personal data we will hold is your:
- name;
- e-mail address;
- talent grid rating;
- any stated role aspirations;
- biography, where provided.
The data will be visible to the ODP cross government talent team, anchored in DWP, HR colleagues and line managers across government departments, in line with their role. The data will also be available to Senior Talent Board members who review and discuss talent pipelines across the ODP profession as well as sponsors of individual SCS, where applicable. If you choose a development opportunity then the above data, or part of it, will be held by colleagues in the ODP Central Team, anchored in HMRC and shared with the relevant provider.
2. To monitor the diversity and inclusivity of our processes
We may collect and monitor diversity data, when provided, in order to understand the diversity of SCS within the ODP and to satisfy our public sector equality duty (PSED) under the Equality Act 2010.
The personal data, including special category personal data we may hold is your:
- name;
- contact details;
- employment history, qualifications;

CV / biography and other background information relevant to your career aspirations;
- age;
- sex;
- race;
- sexual orientation;
- recorded disability (health conditions);
- religion or belief, ;
- geographical location;
The data will be visible to the ODP cross government talent team, anchored in DWP, other departments’ officials and individuals involved in a recruitment campaign you may have applied for.
3. To enable you to participate in an event or activity associated with SCS recruitment or development
We will process your personal data, in order to communicate with you, to invite you to events.
The personal data we may hold could include your:
- name;
- telephone number;
- email address;
- contact details that you have provided;
- we may collect Special Category Data to enable us to facilitate your attendance at events related to SCS Recruitment and Development. This information will be limited to data about your health, disability, religion or belief needed to make reasonable adjustments to access and participate in events (for example to ensure venue accessibility and meet any dietary requirements).
The data will be visible to the ODP cross government talent team, anchored in DWP and the ODP Central Team anchored in HMRC, other departments’ officials, event organisers and co-hosts.
Lawful basis for processing your personal information
The lawful basis for processing your personal data is performance of a public task. The appropriate condition for processing Special Category Data is for Reasons of substantial public interest.
Retention of your data
Your data will be retained for 3 years in line with the DWP HR Retention schedule. However we will update the data that we hold about you on a quarterly basis.
We retain personal information collected only for the period allowed under the applicable laws and regulations, including but not limited to UK GDPR.
We shall immediately destroy or dispose of, in a secure manner, any personal information we are no longer allowed to retain under applicable laws and regulations. We will also destroy data at after the retention period if you no longer participate in the scheme unless we are required to retain it as part of our legal obligations.
Your duty to inform us of changes
It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us.
Your rights in connection with personal information
Taking into account the lawful basis for processing your personal data, under certain circumstances, by law you have the right to exercise the following individual rights over your data:
Request access to your personal information (commonly known as a “subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it. Please contact data.protectionofficer@dwp.gov.uk .
Request rectification of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for a task carried out in the public interest, or in the exercise of official authority. You can also object where the processing is for direct marketing purposes.
Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

Your request to exercise rights in connection with personal information will be considered in line with the guidance issued by the Information Commissioner’s Office. Not all rights are absolute. Some only apply in certain circumstances. If you apply to exercise one of these rights and we are unable to agree to it, we will write to you to explain why.
No fee usually required
You will not normally have to pay a fee to access your personal information (or to exercise any of the other rights). However, we are allowed under the law to charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we can refuse to comply with the request in such circumstances.
What we need from you
We sometimes need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.
