Recording safeguarding and accommodation checks in the case management system (CMS): Homes for Ukraine
How and why safeguarding and accommodation checks must be entered into the CMS. Includes the importance of timeliness and updating.
Councils must conduct safeguarding and accommodation checks after receiving notification of a visa application.
Record safety checks in the CMS from the beginning
Starting and completing the checks should be recorded in the CMS as soon as possible.
The 5 checks to be made and recorded in the CMS are that I have:
- Checked the accommodation exists and can be used as residential accommodation.
- Visited the accommodation and appears suitable for the proposed guests.
- Initiated Disclosure and Barring Service checks.
- Confirmed that the guests have arrived in the accommodation.
- Completed safeguarding checks, including visiting the guests in their accommodation and can confirm there are no serious concerns.
Why recording checks and data is necessary
Council-level data is used for assurance on safeguarding and accommodation checks.
Payment of council funding is conditional on councils undertaking necessary safeguarding checks and providing the Ministry of Housing, Communities and Local Government (MHCLG) with relevant data.
MHCLG will use completed checks data from the CMS to support grant payments, and to provide assurance that relevant grant conditions have been met.
Regular data collection and updating
Councils must continue to collect and record data about both guests and sponsors in their area on the CMS as soon as possible (ideally daily), as required by central government.
These data requirements may be amended or updated from time to time, and we will write to councils with further information when necessary.
