Unlocking a Payment On Account (POA)
When you are ready to settle a case you must
- ask the Centralised SAFE Team to check what POAs are held in SAFE
- complete a settlement stencil to raise the charge, and
- complete an Ad-Hoc task in Caseflow.
The SAFE Team will check and release any locked payments on the same day the charge is raised.
SAFE updates each night so it is important that both the POA and settlement charge are processed in SAFE on the same day (otherwise the notice to pay sent to the customer will not reflect the POA (COG915105 - SAFE General).
If excessive payments on account have been made, you should check if there are any collectible arrears the overpayment can be set against, and either
- complete a SAFE 1 repayment stencil
- complete the ‘SAFE Transfer of payments within SAFE’ stencil, for reallocation from one SAFE record to another SAFE record
- complete the ‘SAFE transfer of payments to other HOD’ for reallocation to another Head of Duty system.
Completed stencils should be sent via EFORM to Destination office as reflected at the top of the stencil.
