DMBM210775 - Process payments in DMB Banking: Payment update of customer SA records
Some content of this manual is being considered for archiving. If there is content you use regularly, please email hmrcmanualsteam@hmrc.gov.uk to let us know as soon as possible.
Introduction
The batch function PROCESS PAYMENTS receives details of most payments processed by DMB Banking in a single day and stores them on the database.
SA payments are separately identified and posted to customer and management accounts. The process uses automatic allocation rules to determine which liabilities to set payments against.
The allocation of payments also causes a review of the interest position. Where an interest bearing liability is cleared by late payment an interest charge is created.
Payment Update
Payment update of SA customer records takes place overnight. It commences soon after MARS (cheque) payment processing has finished for the day.
The system processes and validates the payment details for a range of payments processed by DMB Banking. Where, exceptionally, a MARS payment batch fails validation, it may have to be re-processed. Special instructions apply where multiple payslip transactions are to be re- processed. See DMBM210710.
With the exception of SAFE payments, all payment data is stored and payments identified as proper to SA are directed to the SA database.
SA only accepts payments with a Unique Taxpayer Reference (UTR) that matches the UTR of an SA record on the database. Any non-matched payments are rejected.
The full payment details of each matching SA payment are recorded on the customer's SA record. Details of each payment can be viewed using VIEW PAYMENT DETAILS.
Payment allocation details are determined automatically for each SA payment posted. See Payment Allocation and Transfer for more information. Where a payment is allocated to a charge the interest position is reviewed. An interest charge is created if an interest bearing liability is cleared and payment was late Payment Types
When the Receipts Clearing System (RCS) passes incoming payment data to CESA, it converts payment types to those that can be accepted by CESA. These are
Payment method | RCS payment type | SA payment type |
---|---|---|
Cheques | BLP | BLP |
BACS | BACS | BAC |
Girobank | NGP | NGP |
Bank giro (on tape) | NGB | BGT |
Bank giro (clerical, via MARS) | NGE | BGP |
Debit card | BGT | BGP |
Share fishermen | BGP | BAC |
Direct Debit | DCP | BAC |
Management Account
Details of all SA payments are also passed to Management Account. This uses the information to produce a variety of daily and periodic accounting accumulations. These are used for
- Account Reconciliation
- Annual Balance purposes
Receipts
The payment update process also identifies all the requests for SA receipts. These are issued centrally to the customer or agent depending on the signal recorded on the payslip (R = customer, A = agent).
No details are stored in the case of a non-matched payment or if the UTR relates to a partnership record.
