Publicly Funded Research and Innovation Organisation survey privacy notice

This notice sets out how we will use your personal data, and your rights. It is made under Articles 13 and/or 14 of the UK General Data Protection Regulation (UK GDPR).
The data
As part of the Survey of Publicly Funded Research and Innovation Organisations, you will be asked to contact us via email if:
- you are not a UK Research and Innovation (UKRI) institute and would like to opt out of having your organisation-level data shared with UKRI
- you have any questions on the survey
- you would like to receive a short report of the findings, excluding findings on the ‘Workforce and Location’ and ‘Finance’ sections of this survey. Please note that this will not include data that could identify organisations
Your email address is the only personal data that will be collected as part of this survey and will only be collected if you contact us for any of the reasons stated above.
Purpose
The Department for Science, Innovation and Technology (DSIT), GO-Science and UKRI have collaborated to produce this organisation-level survey of publicly funded Research and Innovation (R&I) institutions in the UK. The purpose of this survey is to collect data which will help to build an improved picture of the of the UK’s research, development and innovation landscape and the organisations within it.
We will be collecting your email address if:
- you are not a UKRI institute and would like to opt out of having your organisation-level data shared with UKRI
- you have any questions on the survey
- you would like to receive a short report of the findings, excluding findings on the ‘Workforce and Location’ and ‘Finance’ sections of this survey. Please note that this will not include data that could identify organisations
Data linking
Your email address will not be linked to any other datasets. If you choose to opt out of data sharing then we will use your organisation name to identify the data relating to your organisation and remove it from the dataset that will be shared.
Legal basis of processing
The legal basis for processing your personal data is:
- Public task: Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the data controller.
For the purposes of this project, the public task relates to collecting your email address if you contact us as part of the survey. The Publicly Funded Research and Innovation Organisation Survey will provide data to better understand the system of public-funded R&I institutions in the UK.
Recipients
The only personal data collected if you choose to email us for any reason, will be your email address, this will be collected by DSIT. This email address will be shared no wider than DSIT.
As your personal data will be stored on our IT infrastructure, it will also be with our data processers Microsoft and Amazon Web Services
Retention
Your personal data (email address) will by kept by DSIT for 6 months after the survey is complete for the following purposes:
- removing your organisation’s response from the shared dataset
- answering any questions you may have about the survey itself
- answering any responding organisation’s request for a short report of the findings, excluding findings on the ‘Workforce and Location’ and ‘Finance’ sections of this survey
Your rights
You have the right to:
- request information about how your personal data are processed, and to request a copy of that personal data
- request that any inaccuracies in your personal data are rectified without delay
- request that any incomplete personal data are completed, including by means of a supplementary statement
- request that your personal data are erased if there is no longer a justification for them to be processed
- in certain circumstances (for example, where accuracy is contested) to request that the processing of your personal data is restricted
- object to the processing of your personal data where it is processed for direct marketing purposes
- object to the processing of your personal data at any time
Complaints
If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an UK independent regulator. The Information Commissioner can be contacted at:
