Before you follow this guidance, make sure

You will not be able to log an Annual Declaration twice.

To fully log and capture an Annual Declaration, follow the guidance in TCM0254040

Any attachments on the Annual Declaration must remain attached whilst you log the Annual Declaration for them to be used when you fully capture the Annual Declaration.

You must keep the Annual Declaration securely until you are advised to fully capture the Annual Declaration.

Guidance

Note: When sending customer, staff or process data to another individual or team, make sure you follow the latest data security guidelines or contact the Data Guardian or Data Security Team for advice.

Step 1

Access the Capture Renewal Declaration function. For how to do this, use TCM1000006.

If the message ‘No match found’ displays, go to Step 2.

If the message ‘This barcode has been superseded’ displays, go to Step 3.

Note: This means that a later version of the Annual Declaration has been issued and this Annual Declaration does not need to be captured.

If the message ‘There are no outstanding declarations for this household’ displays, go to Step 3.

If any other massage displays

  • make a note of the message on the TC648
  • go to Step 4.

If there are not any messages, go to Step 4.

If an Annual Declaration has already been received and captured

  • complete form TC648 and attach it to the Annual Declaration
  • send it to the Manage Finalisation Team
  • update Household Notes with the message SW10 from TCM0172080. For how to do this, use TCM1000001
  • take no further action.

Step 2

Re-enter the barcode or NINO.

If the message ‘No match found’ displays

  • close the document on DMS. For how to do this use TCM1000037
  • take no further action.

If the message ‘No match found’ does not display , go to Step 4.

Step 3

If the ‘This barcode has been superseded’ message displays

  • update Household Notes with the message SW09 from TCM0172080. For how to do this, use TCM1000001
  • close the document on DMS. For how to do this use TCM1000037
  • take no further action.

If the message is ‘There are no outstanding declarations for this household’

  • complete form TC648
  • attach it to the Annual Declaration
  • send it to the TCO Manage Finalisation Team
  • update Household Notes with the message SW12 from TCM0172080. For how to do this, use TCM1000001
  • take no further action.

Step 4

Log the award on the ‘Income/Benefits’ screen, go to Step 5.

Note: You mustn’t enter any other information onto this screen. You must only select ‘Log’ on the ‘Income / Benefits’ screen.

Note: You must still select ‘Log’ even if the Annual Declaration is blank.

Step 5

If you noted a ‘Complex Case’ message on the TC648 at Step 1

  • note the Annual Declaration has been Logged on form TC648
  • attach it to the Annual Declaration
  • send it to the TCO International Team
  • take no further action.

If you noted any other message on the TC648

  • retain the Annual Declaration securely until you are told it can be fully captured
  • to capture the Annual Declaration (form TC603D or TC603D2), follow the guidance in TCM0254040.
